Goals and progress
Track every student's progress with goals, goal templates, homework, test results, voice notes, photos and documents that parents see.

Parents stay when they can see their child improving. These tools give coaches a quick way to record progress, and parents see it in the app as soon as it’s added.
Goal templates#
Goal templates are the most used way to track progress, especially for group classes. A template is a reusable set of goals with the actions (skills or competencies) a student needs to complete. Apply it to a student in seconds.
- Build your curriculum once. Make a template for each level, like Blue Level and Red Level, each with its own actions. When a student completes them, they’re ready for the next level.
- Track the whole journey from the day a student joins.
- Make it easy for junior coaches. Head coaches build the templates, and junior coaches just drag and drop them onto students.
- Parents see it all, which keeps them engaged and students coming back.
Coaches can tick off actions, give feedback and update goals by voice from the app. Beta
Individual goals#
For private lessons and high performance, create goals for one student. Each goal has:
- a title, description and due date
- actions that break it into steps
- feedback, photos, videos and documents linked to the goal
- a progress percentage and status (Not started, Working on it, Completed) that the student can update themselves
Who can see a goal#
When creating a goal, choose who sees it:
- everyone (student, parents and the coach who created it)
- the student and parents only
- the coach and student only
Goal reminders#
Set reminders daily, weekly or monthly. Outcoach sends push notifications and emails to keep the student on track. When a coach adds feedback, the student is notified straight away.
Actions and homework#
Actions are tasks for students between sessions: homework, drills, videos to watch, exercises or preparation for next class.
- Each action has a title, description, due date and attachments (documents, photos, videos), and can be linked to a goal or class.
- Students are notified when it’s assigned and update its status themselves (To do, In progress, Completed), so coaches can see who’s following through.
- Assign to a whole group in one step, up to 100 actions at once. Attach drill videos, workout sheets or sheet music.
- Set up bulk actions and sign off homework by voice. Beta
Actions also work for internal follow-ups on a person, like “Assess for Advanced”. See the Actions tab.
Evaluations#
Competition and test results#
Record tournament placings, grading results, exam outcomes and assessments on a student’s profile, for example a swim meet podium, a piano grade or a belt grading. They form a permanent record, and parents are notified when a result is added. Add them from the Evaluations tab.
Structured feedback#
Give feedback across four areas: effort, engagement, attitude and practice focus. It’s usually done at the end of term or after a competition or exam. Coaches can speak their feedback and Outcoach turns it into a report for parents, who see it straight away. It’s one of the features parents value most.
Tip: Don’t save it all for the end of term. Log results as they happen and add feedback regularly, so parents see progress all year.
Voice notes after class#
After a class, record a quick voice note about the session. Outcoach AI:
- transcribes it
- works out which student each comment is about
- creates a separate feedback note on each student’s profile
Say “Sarah’s breathing improved a lot but James is still rushing his turns” and Sarah and James each get their own note, without typing a word.
Review the notes before saving. The four feedback areas can be filled from your voice note, and you choose whether each student’s feedback is private or shared with parents. Post-class admin takes minutes instead of the afternoon.
Memories: photos and videos#
Memories is your club’s shared photo and video gallery for classes, competitions, performances and events.
- Coaches, students and parents can all add to it. Videos are optimised to play smoothly on any device.
- When a coach uploads from a class, every student who attended is tagged, and they and their parents get a notification.
- Tagged students can comment, and everyone can mark favourites.
Documents#
The club document library is for files everyone needs: term schedules, training plans, consent forms, welcome packs, technique guides and sheet music. Upload once and every student can find and download it at any time. Videos are compressed for smooth playback.
For a single person’s files, like a medical form or certificate, use the Documents tab on their profile.
Troubleshooting#
A parent can’t see their child’s goal
Check the goal’s visibility. If it’s set to coach and student only, parents won’t see it.
Should I use goals or goal templates?
Use goal templates for group classes and level progressions. Use individual goals for private lessons and high-performance students who need a specific plan.
