Sound familiar?

Running a drama school shouldn’t feel like a second job

You got into this to teach drama, not to chase texts and payments.

7:50 am, Tuesday

“Sam’s sick. Who’s taking his 4 pm juniors?”

Now you’re texting 14 families, one by one.

Start of term

“Who still hasn’t paid term fees?”

Bank transfers, screenshots and awkward chats at pick-up.

Missed class

“Ava has a cold. Can she do a makeup?”

Makeups live in your head or a notebook.

Show week

“Has every family seen the rehearsal schedule?”

Rehearsal changes get lost in a group chat nobody reads.

Monday, 4 pm

“Studio 2 is double-booked again.”

Teachers, studios and rehearsals fight for the same slots.

End of term

“We won’t be re-enrolling.”

Students lose confidence and drift away. You notice too late.

Outcoach handles all of it, built around how drama schools are actually run.

How it works

Everything your drama school runs on, in one place

From grouping students to keeping them coming back.

1Set up
01 / 08

Group students by age

Pick your 9 to 12 year olds and turn them into a class linked to Tuesday at 4 pm. Each profile holds their age group, classes and history.

02 / 08

Schedule a whole term in one go

Add a class once, repeat it for 10 weeks, then invite every student in the 9 to 12 group.

2Every week
03 / 08

Message one parent or every family

Swap a class for a makeup when a parent says their child is sick, or send the rehearsal schedule to every family and see who has read it.

04 / 08

Get paid without awkward chats at pick-up

Term fees, workshops, production fees and costume hire in one list. Send a reminder with a pay link and watch it turn to Paid.

3Student progress
05 / 08

Give every student a clear goal

“Project my voice to the back row.” “Off book for Act 1.” Add goals from templates and update progress after each class. Parents see it too.

06 / 08

Keep rehearsing between classes

Set small tasks after each class, like learning lines. Students tick them off at home, so you know who rehearsed.

07 / 08

Track exams, roles and performances

Log exam results and performances, track skills over time, and share teacher feedback with parents.

4Grow your school
08 / 08

Spot students before they quit

See what is paid and what is owed, and the students who might leave: missed classes, tasks not done, a term that ran out.

FAQ

Questions drama schools ask us

Can’t see yours? Talk to our team and we’ll show you how it fits your school.

What is Outcoach?
Outcoach is drama school software for teachers, schools and youth theatres. It runs weekly classes, holiday workshops, productions and exams, with online enrolment, term billing, makeups, messaging and student progress in one app, from $0.70 per student a month.
Does it handle classes by age and level?
Yes. Run junior, middle and teen classes, private coaching and holiday workshops side by side. Each student keeps one profile with their age group, classes, goals and payments.
How do makeup classes work?
When a student gives notice, they get a makeup credit. Students and families book makeups themselves from open classes in the app, and you set how many makeups each term allows.
Can I bill by the term or the course?
Yes. Send term invoices to every family in one go, offer monthly payment plans, sell workshop passes, and add production fees, costume hire or exam fees to any invoice. Overdue invoices get reminders with a pay link.
Can I track exams, roles and progress?
Yes. Record each student’s level, set goals from drama templates, log exam and performance results, and set tasks like learning lines that students tick off at home. Parents see progress in the app.
What happens when a teacher is sick?
Move classes to a cover teacher, or cancel and issue makeup credits. Tell everyone at once by SMS and email. Outcoach AI can find the affected classes and do all of this for you from one request.
Can families book trial classes online?
Yes. Publish trial classes and holiday workshops on your own booking page. Families book and pay online, and you can turn a trial into a term enrolment in a click.
Can I manage teachers, studios and locations?
Yes. Assign teachers and studios to every class, see each teacher’s timetable, and manage multiple locations from one dashboard, so nothing is double-booked.
Do students and parents get an app?
Yes, and it’s free for them. Students and parents can see classes, book makeups, pay, tick off tasks and read messages from their phone.
Can I run productions and showcases?
Yes. Schedule rehearsals, share scripts and cast lists, send show reminders to every family, and collect production fees in the same place.
Is Outcoach only for big drama schools?
No. It works for an independent teacher with a few students, a drama school with many teachers, and youth theatres with multiple locations. You pay per student, so the cost grows with your school.
How much does Outcoach cost for a drama school?
Plans start from $0.70 per student per month billed yearly, or $0.99 paid monthly. There are no setup costs or hidden fees, and you can cancel anytime.
How do I get started?
Start a free trial and set up your first class in minutes, or book a demo and we’ll walk you through it for your school.
