How Outcoach handles GDPR
Last updated: 5 October 2026
This page explains how Outcoach Pty Ltd approaches the EU General Data Protection Regulation (GDPR) and the UK GDPR, to the extent they apply to our services. Read it together with our Privacy Policy.
This page is for general information only. It does not form part of any contract and does not create rights or obligations beyond those that apply under GDPR or our agreements with customers. If anything on this page is inconsistent with a customer agreement, the customer agreement prevails. We may update this page from time to time.
1. When GDPR applies
Outcoach is established in Australia. GDPR may apply to our processing of personal data where that processing relates to offering our services to individuals in the European Union or the United Kingdom, or where we process personal data on behalf of a customer that is subject to GDPR. Whether GDPR applies depends on the circumstances, and this page does not extend GDPR to processing that falls outside its scope.
2. Our role: controller or processor
Customer data. When a customer uses Outcoach to manage information about its own students, members, families or staff, the customer is generally the controller of that data and Outcoach acts as a processor. We process that data on the customer’s instructions to provide the services.
Our own data. For account, billing, support, website and marketing information about our customers and website visitors, Outcoach is generally the controller.
If you are a member, student, parent or staff member of an organisation that uses Outcoach, please contact that organisation about your personal data. If we receive a request about customer data, we may refer it to the relevant customer.
3. Lawful bases
Where Outcoach is the controller, we rely on one or more of the following lawful bases:
- performance of a contract, to provide the services you or your organisation signed up for;
- legitimate interests, such as operating, securing and improving our services and communicating with business customers;
- compliance with legal obligations;
- consent, where the law requires it, such as for certain cookies or marketing.
Where we rely on consent, you can withdraw it at any time. This does not affect processing carried out before you withdrew it.
4. Your rights
Where Outcoach is the controller of your personal data, and subject to the conditions and exceptions in GDPR, you may have the right to:
- access your personal data;
- correct inaccurate data;
- ask us to erase your data;
- restrict or object to certain processing;
- receive your data in a portable format;
- withdraw consent where we rely on it;
- lodge a complaint with a data protection supervisory authority.
To make a request, contact us using the details below. We may need to verify your identity before acting on a request.
5. Data processing agreements
Customers that require a data processing agreement for their use of Outcoach can contact us.
6. Sub-processors
We use third-party service providers to help deliver the services, such as hosting, communication and analytics providers. Information about our current sub-processors is available to customers on request.
7. International transfers
Personal data may be transferred to and processed in Australia, the United States and other countries where we or our service providers operate. Where GDPR requires it, we use appropriate safeguards for these transfers, such as the European Commission’s Standard Contractual Clauses or the UK equivalent.
8. Security
We use technical and organisational measures designed to protect personal data against unauthorised access, loss or misuse. No system is completely secure.
9. Data breaches
Where GDPR applies, if we become aware of a personal data breach affecting customer data we process, we will notify the affected customer without undue delay.
10. Data retention
We keep personal data only for as long as needed for the purposes it was collected for, or as required by law. Customer data is handled at the end of a subscription in line with our agreement with the customer.
