Sound familiar?

Running a cultural school shouldn’t feel like a second job

You started this to pass on a language and culture, not to chase texts and payments.

9:40 am, Saturday

“Our dance teacher is sick. Who’s taking the 10 am juniors?”

Now you’re texting 16 families, one by one.

Start of term

“Which families still owe for Term 2?”

Bank transfers, cash at the door and awkward chats at pick-up.

Festival season

“Does Mia need her costume by Friday?”

Costume notes get lost in a group chat with 200 messages.

Parent catch-up

“Is Lucas reading in our language yet?”

Progress lives in your memory, not where parents can see it.

Saturday, 10 am

“Dance and language are both booked in the hall.”

Teachers, rooms and rehearsals fight for the same slots.

End of year

“She’d rather do Saturday sport now.”

Teens lose interest and drift away. You notice too late.

Outcoach handles all of it, built around how community cultural schools are actually run.
Every way you teach

Every class your program runs, in one place

From first words to the festival stage, one system runs them all.

By age and level

Weekend language classes, from first words to reading and writing, billed by the term.

Dance

Dance classes

Folk and classical dance by age group, with makeups and waitlists built in.

Songs and crafts

Music and arts

Traditional music, singing and crafts, with notes and recordings shared in the app.

Festivals and performances

Mix and match. One student, one profile, every format.

How it works

Everything your cultural program runs on, in one place

From grouping students to keeping them coming back.

1Set up
01 / 08

Group students by age and level

Pick your Level 2 language students and turn them into a class linked to Saturday at 10 am. Each profile holds their level, classes and family details.

02 / 08

Schedule a whole term in one go

Add a class once, repeat it for 10 weeks, then invite every student in the Level 2 group.

2Every week
03 / 08

Message one parent or every family

Swap a class for a makeup when a parent says their child is sick, or send festival call times to every family and see who has read it.

04 / 08

Get paid without awkward chats at pick-up

Term fees, costume hire, festival fees and association membership in one list. Send a reminder with a pay link and watch it turn to Paid.

3Student progress
05 / 08

Give every student a clear goal

“Introduce yourself in a full sentence.” “Learn the first dance for the festival.” Add goals from templates and update progress after each class. Parents see it too.

06 / 08

Keep the language going at home

Set small tasks after each class, like speaking only the language at dinner. Students tick them off at home, so you know who kept it up.

07 / 08

Track levels, dances and performances

Log reading levels and performances, track speaking and dance skills over time, and share teacher feedback with parents.

4Grow your school
08 / 08

Spot students before they quit

See what is paid and what is owed, and the students who might leave: missed classes, tasks not done, a term not renewed.

Step 1 of 8Set up
Student development

From first words to the festival stage, every step tracked

FAQ

Questions cultural schools ask us

Can’t see yours? Talk to our team and we’ll show you how it fits your school.

What is Outcoach?
Outcoach is software for cultural schools, heritage language schools and community associations. It runs language, dance, music and culture classes, workshops and festival performances, with online enrolment, term billing, makeups, messaging and student progress in one app, from $0.70 per student a month.
Does it handle language, dance and music classes together?
Yes. Run language classes by level, dance by age group, and singing or craft classes side by side. Each student keeps one profile with their classes, goals and payments, and families with several children see them all in one place.
How do makeup classes work?
When a student gives notice, they get a makeup credit. Students and families book makeups themselves from open classes in the app, and you set how many makeups each term allows.
Can I bill by the term or the course?
Yes. Send term invoices to every family in one go, offer sibling discounts, and add costume hire, festival fees or association membership to any invoice. Overdue invoices get reminders with a pay link.
Can I track language levels and progress?
Yes. Record each student’s level, set goals for speaking, reading and dance, and set small tasks families do at home. Parents see progress in the app.
What happens when a teacher is sick?
Move classes to a cover teacher, or cancel and issue makeup credits. Tell everyone at once by SMS and email. Outcoach AI can find the affected classes and do all of this for you from one request.
Can families book a trial class online?
Yes. Publish trial classes and holiday workshops on your own booking page. Families book and pay online, and you can turn a trial into a term enrolment in a click.
Can I manage teachers, rooms and campuses?
Yes. Assign teachers and rooms to every class, see each teacher’s timetable, and manage several campuses or borrowed halls from one dashboard, so nothing is double-booked.
Do students and parents get an app?
Yes, and it’s free for them. Students and parents can see classes, book makeups, pay, tick off tasks and read messages from their phone.
Can I run festival performances and cultural days?
Yes. Schedule rehearsals, share costume notes and recordings, send call times to every family, and collect festival or costume fees in the same place.
Is Outcoach only for big cultural schools?
No. It works for one volunteer teacher in a borrowed hall, a weekend school with many teachers, and associations with several campuses. You pay per student, so the cost grows with your school.
How much does Outcoach cost for a cultural school?
Plans start from $0.70 per student per month billed yearly, or $0.99 paid monthly. There are no setup costs or hidden fees, and you can cancel anytime.
How do I get started?
Start a free trial and set up your first class in minutes, or book a demo and we’ll walk you through it for your school.
