Outcoach AI and reports

Outcoach AI answers questions about your business data and takes admin off your plate. The Analytics section of Admin Centre shows how the business is tracking.

Ask Outcoach AI#

Head coaches and admins can type a question and get an answer straight away, instead of digging through reports and filters. The assistant searches across your events, goals, invoices and student actions. For example:

• “Show me all goals not started this term.”
• “Which students have invoices unpaid for more than 30 days?”
• “What classes did Coach Sarah run last week?”
• “Show me attendees for Red Hotshots Monday.”

Open it from the Ask AI button, for example in Events.

Get advice on running your business#

The assistant is also a sounding board: structuring a new program, handling a difficult conversation with a parent, or thinking through your pricing. It’s built around how coaching businesses work, and answers in a warm, practical way.

AI around the app#

• Set up classes by describing them, for example “Create Hot Shots Red every Monday at 3:30 pm for Term 4, coached by Daryl”.
• Mark attendance by voice. Beta
• Find contacts by describing them. Beta
• Turn a voice note into feedback for each student.
• Tick off goals and actions by voice. Beta

Business dashboard#

Open Admin Centre and go to Analytics to see, in real time:

• active students
• monthly revenue
• retention rate
• attendance rate
• trial conversion rate
• overdue invoices

Each one is compared with last month, so you can see which way it’s heading.

Revenue#

• A revenue trend over 3, 6, 9 or 12 months.
• Revenue by program and by coach.
• Outstanding payments and invoice ageing (current, 30, 60 and 90 days overdue), so you know where your cash is.

Students at risk of leaving#

Outcoach flags students who may be about to drop off when several signs appear together: attendance below 60%, several missed sessions, less contact from parents, and no upcoming sessions booked. Export the list so your team can get in touch before a student quietly stops coming.

Attendance#

See attendance trends over time by class type and by coach. Find the coaches with the most unmarked sessions, and the classes where attendance is low or no-shows cluster on certain days. All attendance data exports to CSV.

Makeup credit overview#

See every student’s makeup credit balance with a usage level (low, medium, high or critical). Use it to find students with large balances who aren’t booking makeups, and help them use their credits.
