Sound familiar?

Running an after-school program shouldn’t feel like a second job

You got into this to give kids a great afternoon, not to chase texts and payments.

7:15 am, Thursday

“Ben’s sick. Who’s running chess club at 3:30?”

Now you’re texting 20 families, one by one.

Start of term

“Who still hasn’t paid term fees?”

Bank transfers, screenshots and awkward chats at pick-up.

Casual day

“Can Mia come on Wednesday this week too?”

Casual bookings live in your inbox.

3:20 pm, pick-up

“Grandma is collecting Lucas today. Is that OK?”

Messages like this get lost on a busy phone.

Monday, 3:30 pm

“Art club and Lego club are both in the library.”

Staff, rooms and clubs fight for the same slots.

End of term

“We’ve found something closer to home.”

Kids get bored of the same clubs and families drift away. You notice too late.

Outcoach handles all of it, built around how after-school programs are actually run.
Every way you run it

Every club your program runs, in one place

From the school bell to pick-up, one system runs it all.

How it works

Everything your after-school program runs on, in one place

From grouping students to keeping them coming back.

1Set up
01 / 08

Group children by year

Pick your Year 3 and 4 children and turn them into a club linked to Monday at 3:30 pm. Each profile holds their school, year level and history.

02 / 08

Schedule a whole term in one go

Add a club once, repeat it for 10 weeks, then invite every child in the Year 3 and 4 group.

2Every week
03 / 08

Message one parent or every family

Answer a parent about a late pick-up, or send the excursion note to every family and see who has read it.

04 / 08

Get paid without awkward chats at pick-up

Term fees, casual days, holiday programs and excursions in one list. Send a reminder with a pay link and watch it turn to Paid.

3Child progress
05 / 08

Give every child something to aim for

“Win a game of chess against a staff member.” “Read 20 books this term.” Add goals from templates and update progress each week. Parents see it too.

06 / 08

Keep it going at home

Set small tasks each week, like a reading log or a chess puzzle. Children tick them off at home, so you know who joined in.

07 / 08

Track attendance, clubs and milestones

Mark the roll for every club, log certificates and milestones, and share staff notes with parents.

4Grow your program
08 / 08

Spot families before they leave

See what is paid and what is owed, and the families who might leave: fewer days booked, missed clubs, a term that ran out.

FAQ

Questions after-school programs ask us

Can’t see yours? Talk to our team and we’ll show you how it fits your program.

What is Outcoach?
Outcoach is after-school program software for providers running clubs at one school or many. It runs weekly clubs, homework club, casual days and holiday programs, with online enrolment, term billing, attendance, messaging and progress in one app, from $0.70 per student a month.
Does it handle weekly clubs and casual days?
Yes. Run weekly clubs, homework club, casual days and holiday programs side by side. Each child keeps one profile with their school, year level, clubs and payments.
How do makeups and casual days work?
If a child misses a club, they get a makeup credit to use on another day in the app. Parents can also book extra casual days whenever there is a spot, and you set the rules for each club.
Can I bill by the term and by the day?
Yes. Send term invoices to every family in one go, take payment for casual days when parents book them, offer sibling discounts, and add excursions or holiday days to any invoice. Overdue invoices get reminders with a pay link.
Can I mark attendance and track progress?
Yes. Mark the roll for every club, set goals from club templates, log certificates and milestones, and share staff notes. Parents see it all in the app.
What happens when a staff member is sick?
Move clubs to cover staff, or combine groups and let families know. Tell everyone at once by SMS and email. Outcoach AI can find the affected clubs and do all of this for you from one request.
Can parents book casual days online?
Yes. Publish clubs, casual days and holiday programs on your own booking page. Parents book and pay online, and full clubs fill from the waitlist when a spot opens.
Can I manage staff, rooms and school sites?
Yes. Assign staff and rooms to every club, see each staff member’s timetable, and run programs at many schools from one dashboard, so nothing is double-booked.
Do parents get an app?
Yes, and it’s free for them. Parents can see clubs, book casual days, pay, check tasks and message staff from their phone.
Can I run holiday programs and excursions?
Yes. Schedule full-day holiday programs and excursions, take bookings and payments online, and send the details to every family in one go.
Is Outcoach only for big after-school programs?
No. It works for one provider at a single school, programs with many staff, and providers running clubs at dozens of schools. You pay per student, so the cost grows with your program.
How much does Outcoach cost for an after-school program?
Plans start from $0.70 per student per month billed yearly, or $0.99 paid monthly. There are no setup costs or hidden fees, and you can cancel anytime.
How do I get started?
Start a free trial and set up your first club in minutes, or book a demo and we’ll walk you through it for your program.
