Enrolments and bookings
Enrol students, set up parent accounts, and take bookings, trials and enquiries through your public booking page.

New students reach you two ways: you enrol them, or they book through your public booking page. Either way they end up in your Directory with the right classes, parents and notifications.
Enrol a student#
- Find the student, or create their account if they’re new.
- Choose the class series they’re joining.
- They’re added as an active attendee from the next session.
Their account is ready straight away. They get a welcome email with login details, and if the student is a child, their parent is linked automatically.
You can also enrol from the student’s profile: open them in Directory, go to the Events tab and click + Add Event.
Re-enrol a whole group#
At the start of term, re-enrol groups of returning students into the new term’s classes in one step. You can also copy classes with their students or add students by level.
Child and parent accounts#
When you enrol a child, Outcoach creates the child’s account and the parent’s account together and links them. Parents can straight away:
- see their child’s schedule and progress
- get notifications
- receive and pay invoices
- message coaches
You can link two parents to one child. Both get every notification and see the full account. Parents with more than one child see all their children under one login. See Families.
Your public booking page#
Your booking page lets new and existing families book without an account or password. Share one link on your website, Instagram bio or email signature.
- It shows your club’s branding and real-time availability for every class you publish.
- Visitors can search and filter to find the right class.
- Each class has its own landing page with details, notes and capacity, so you can link straight to it.
- You can take payment at the time of booking.
- Existing families just verify their email and their details and children are filled in for them.
Most businesses use their website to explain their programs, then link to the booking page to take the booking.
Types of booking#
| Type | What families book | Use it for |
|---|---|---|
| Class booking | A specific class, like “Monday 4:30 pm Red”, for the whole term or package | Selling places in your timetable |
| Makeup booking | An available makeup session at their level, using their credits | Makeups |
| General enquiry | A program, like “Red Hotshots”, with up to five custom questions (for example “What is your child’s age?”) | Collecting interest before you place a student |
| Trial | A paid or free trial on a set day and time. The coach is told automatically. | Letting families try before they enrol |
Review and approve bookings#
Every booking from your page creates a lead in your admin panel. The student isn’t added to your system until you approve it.
- Open the lead to see the family’s details, the class they chose and their answers to your questions.
- Accept or decline.
- Accepted bookings create a full student account and go into your
Directoryautomatically.
Families get an automatic email at each stage, from request received to confirmed.
Approve bookings automatically#
Turn on auto-approval to turn accepted bookings into student accounts straight away, with a confirmation email sent at once. You can set this differently for each booking type. For example, call every new family before they join, but approve existing students instantly.
Booking reports#
Run reports on your bookings for insights, and manage the whole booking flow, from request to enrolled student, in one place.
Troubleshooting#
A class isn’t showing on my booking page
Only classes you’ve published appear on the booking page. Check the class is published and still has room.
A booking came in but the student isn’t in my Directory
Bookings wait as leads until you approve them. Approve the lead, or turn on auto-approval for that booking type.
A parent says they didn’t get login details
Check their email address on their profile in Directory. The welcome email goes to that address when they’re enrolled.
